Overview

The NMSU Concerns application serves as a mechanism for students, instructors and staff to find the help they need, track or simply go on record letting the University’s administration know about problems they have encountered. Student's with Academic concerns regarding courses or instructors are advised to visit the Academic Concerns page to learn more about handling these types of concerns. These Academic concerns will then be tracked using the Academic portion of this application which is used by instructors, department heads and deans. Non-academic concerns, once submitted by students, are then handled by the Office of the Dean of Students.

Academic

The academic portion of the NMSU Concerns application is used by instructors, department heads, and deans to record and track the status of an academic concern throughout its lifecycle. Instructors can record concerns for their own courses and students, and escalate the concern if needed to their department head or dean. Department heads and deans can record concerns as instructors themselves, or manage and respond to concerns submitted by their department or college respectively.

Roles and Abilities

  • Instructor Concerns Form: Instructors can record a concern only for their own courses and students. Course, Term, Student, Date Issue Occurred, and Issue Description are required fields, while Resolution and Status are optional in case the concern has not yet been resolved.
  • Student Concerns List: This dashboard allows an instructor to only view concerns that they have submitted or ones that have been assigned back down to them. Using this page you can:
    • View the status and high-level details about a concern. A concern can have a blank, new, in-progress, or resolved status. Any concern submitted by an instructor is automatically assigned to their own user account. This concern is also visible to the department head and dean. If the instructor changes the assignment to their department head or dean, it will no longer show in their list unless the department head or dean assigns it back down to them.
    • Open the concern by clicking the student's Aggie ID.
      • Once you open the concern you can change the status, view the student's question and answers, and add notes which will be added to the concern record's history.
      • To go back to the Concerns dashboard click the back arrow in your browser or choose the Student Concerns List in the menu bar.

  • Instructor Concerns Form: Department Heads can record a concern only for their own, or own departments, courses and students. To start entering a concern, an ID must be entered first to then be able to see that persons courses and students for a particular term. Course, Term, Student, Date Issue Occurred, and Issue Description are required fields, while Resolution and Status are optional in case the concern has not yet been resolved.

Non-Academic

The Office of the Dean of Students provides this site as mechanism when students can’t find the help they need or they simply want to go on record letting the University’s administration know about problems they have encountered. Students can sign in with their NMSU credentials to submit a concern and they are submitted to the Dean of Students for review. The Dean of Students, depending on the nature of the concern, can assign, track and add notes to each concern as it is investigated and closed.

Roles and Abilities

All users are required to sign-in using their NMSU credentials which will determine which access rights and abilities you will have within the Concerns application.

  • Student Concerns Form: Can fill out and submit a form regarding the nature and description of their concern which will be submitted to the Office of the Dean of Students for review. Upon submission of Concerns form, student will receive a confirmation email to their NMSU email address that their concern has been successfully received.
  • Student Concerns Form: If a responder is also a student, they too can still fill out and submit a form regarding the nature and description of their concern which will be submitted to the Office of the Dean of Students for review. Upon submission of Concerns form, the student will receive a confirmation email to their NMSU email address that their concern has been successfully received.
  • Student Concerns List: This dashboard allows a responder to only view concerns that have been assigned to their user by an administrator. Using this page you can:
    • View the status and high-level details about a concern. A concern can have a blank, new, in-progress, or resolved status. A blank status means the concern has not been assigned yet.
    • Open the concern by clicking the student's Aggie ID.
      • Once you open the concern you can change the status, view the student's question and answers, and add notes which will be added to the concern record's history.
      • To go back to the Concerns dashboard click the back arrow in your browser or choose the Student Concerns List in the menu bar.
  • Student Concerns Form: If an administrator is also a student, they too can still fill out and submit a form regarding the nature and description of their concern which will be submitted to the Office of the Dean of Students for review. Upon submission of Concerns form, the student will receive a confirmation email to their NMSU email address that their concern has been successfully received.
  • Student Concerns List: This dashboard allows an administrator to view all submitted concerns. Using this page you can:
    • View the status and high-level details about a concern. A concern can have a blank, new, in-progress, or resolved status. A blank status means the concern has not been assigned yet.
    • View or change who the concern is assigned to.
    • Open the concern by clicking the student's Aggie ID.
      • Once you open the concern you can change the status, view the student's question and answers, and add notes which will be added to the concern record's history.
      • To go back to the Concerns dashboard click the back arrow in your browser or choose the Student Concerns List in the menu bar.
  • Security: Administrators can add, modify or remove access rights for new or existing users by entering in their AggieID. This page also contains a security report table which lists and describes access rights for the current users of the application.
